What Is Structure in a Coaching Business?
When structure is missing, everything can feel messy. You sit down to work and are not really sure what to do. Structure is the opposite of that chaos.
I often think about structure through the lens of masculine and feminine energetics in business. If we want intuitive flow, creativity and spaciousness, we need something to hold it. Without structure, that creative energy has nowhere to land. It spills everywhere.
Structure is the container. When you have that container in place, you can access more flow, not less. You show up intuitively because you are not using all your energy deciding what to do next.
For heart-centred and highly sensitive coaches, structure can feel counterintuitive. You might worry it will limit your creativity or flow. In reality, the right structure supports your nervous system. It gives you something steady to lean on so you are not constantly reinventing the wheel.

How to Create a Structure that is Right For You
Know Your Natural Lean
We all lean differently. Some of us naturally crave organisation and structure. Others resist it and prefer freedom.
Personally, I lean towards the organised side. In the past, overplanning was my way of trying to control outcomes and minimise risk. Others might struggle with too little structure, feeling scattered or overwhelmed.
The key is awareness. Ask yourself:
- Do I default to over-structuring and over-planning?
- Or do I default to avoiding structure and operating reactively?
Neither is wrong, but knowing your tendency helps you design support that works for you.
How Much Structure Do You Need?
A supportive structure for one person can feel restrictive for another. So check in with yourself: what do you need to thrive and get things done?
Practical structure usually includes:
- Routines you follow
- Tasks you prioritise
- Actions you take
- Timing for those actions
Without it, it is easy to feel overwhelmed and unpredictable. Structure helps your actions add up.
Your life stage also matters. A new mum might need lighter, more specific structure. Someone with few commitments may benefit from more defined routines to create boundaries and avoid drifting.
Building a Business Is a Habit
Another helpful reframe is that building your coaching business is a habit – just like going to the gym or eating healthily.
If you struggle with consistency, it can be useful to explore how you relate to habits and expectations more generally. One tool I recommend is The Four Tendencies by Gretchen Rubin. Understanding your tendency can help you create systems that actually stick.
Structure is not one-size-fits-all. It is about creating a container that reduces decision fatigue, helps prioritise the right activities, and supports consistent action.
What Structure Looks Like in My Coaching Business
I naturally lean towards thinking of things in terms of systems and ‘engines’ but what I now most liken my business structure to is a garden. Like a garden, we need to tend to lots of different areas at different times, we need to know what seeds to plant and when, when to harvest etc.
In my business, the garden is pretty much created and growing and my structure is based around what it needs to continue to thrive and grow, while also expanding through new projects – for example if I wanted to make my garden bigger and add an orchard for example.
In practical terms, this looks like me creating an Annual Plan, and then breaking that down into Mini Seasons which then inform what work I do on a week to week basis. Most tasks tend to be a mix of what I call ‘ticking over tasks’ which are maintaining the garden and more project based tasks that are expanding the garden.

- Get Clear on Your Needs
Decide how much structure works for you. Too rigid, and you may feel boxed in. Too loose, and nothing gets done. Find your balance. - Get Support
|If you feel lost or unsure, get help. This could be one-to-one coaching, a planning workshop, or a programme like Wholehearted Business. Support helps you map out your garden and plan your growth. - Create Your Structure
|Plan your garden. Build your visibility, offers, and delivery systems. Map out projects and ongoing tasks. Take action to plant seeds and nurture growth. - Maintain Your Structure
Know your weekly, monthly, and seasonal tasks. Tend your garden consistently. Projects create growth, while ongoing tasks maintain stability.
